Set Up Direct Deposit

Direct Deposit is a payment method that credits an employee’s pay directly to their bank account. Each employee can have up to five direct deposit accounts in the standard version on APS Online, and up to two direct deposit accounts in the Small Business Edition of APS Online.

 

NOTE: For the funds to be available to the employee on pay day, the payroll must be submitted to the APS two banking days prior to pay day.

 

  1. Make sure you are on the Edit Employee > Details screen.

 

  1. If you are adding a new employee, you will need to enter the employee information and employee details, then click on the Save button. The screen will refresh and display the Edit Direct Deposit button. See the image below.

 

 

  1. Click on the Edit Direct Deposit button, located in the Employee Details section. The Direct Deposit window will pop up. See the image below.

 

 

 

NOTE: For the funds to be available to the employee on pay day, the payroll must be submitted to APS two banking days prior to pay day.

 

  1. Click on the Add button. The Direct Deposit Information window will pop up. See the image below.

 

 

  1. Select “Yes” from the Pre Note picklist if you would like to use a pre note (recommended). A pre note is used to transmit a zero dollar amount for direct deposit as a test that the correct routing and account numbers have been entered. The employee will receive a check for their net amount and $0 to their direct deposit the first time the employee uses direct deposit if 'Yes' is selected for the pre note field.

 

  1. Select the type of account that the direct deposit will be paid to from the Account Type picklist.

 

  1. Enter the employee’s Routing #. This is the 9-digit bank number found on the employee's personal check. Do not use the routing number from a deposit slip. Sometimes this number is an internal routing number, not the ACH routing number.

 

  1. Enter the employee’s Account #. This is the bank account number that the employee's pay will be transferred to on pay day. This number can be found on the employee’s personal check.

 

  1. Select the Pay Type from the picklist. This is the type of payment the employee will receive.  If the employee’s direct deposit will only be going to one account, select the “Net Pay/ Remainder” option. If you wish to deposit a specific dollar amount from the employee's pay each time, select the "Dollar Amount" option. If you wish to deposit a specific percentage of the employee's pay each time, select the "Percent" option. If the employee’s direct deposit will only be going to one account or if you have multiple accounts, select the “Net Pay/ Remainder” option to deposit the balance after a Dollar Amount or Percent deposit is made.

 

  1. Enter the Pay Amount or %. If you selected the “Dollar Amount” pay type, enter the dollar amount that should be transferred from the employee's pay for each pay period here; if you selected the “Percent” pay type, enter the appropriate percentage of the employee's pay for the pay period  that should be transferred here.

 

  1. If you are deleting the direct deposit account, click on the checkbox to the right of Delete.

 

  1. Click on the Save button to return to the Details screen.
